Key Responsibilities

• Providing diary management, travel coordination, expense processing and administrative support to the Director roles within the Division to ensure efficient, professional and smooth operations of the team.
• Managing any shared mailboxes ensuring efficient workflow tracking and timely escalation of urgent matters.
• Support the planning, coordination and communication of key stakeholder meetings and workshops.
• Capture and manage stakeholder details across the Office of the President.
• Helping with event coordination, logistics and delivery which may at times require travelling and working from different locations.
• Assist with tracking of budget and financial reporting.
• Handling confidential information in a professional and discreet manner.
• Provide support to the wider organisation as required.
• Consistently demonstrate Brisbane 2032 Values by fostering a safe, inclusive, and collaborative team culture while upholding strict ethical standards, transparent governance, and workplace policies.

Requirements

Skills and Experience
• A highly adaptable and collaborative team player, ready to ‘roll up your sleeves’ to take on any task and solve problems collectively within a small team.
• Proven ability to handle sensitive information with confidentiality and discretion.
• Community focused individual with a strong interest in community engagement, inclusion and connection across all parts of Queensland.
• Experience working with Government departments and senior officials is desirable but not essential.
• Exceptional attention to detail, ensuring accuracy and quality in all aspects of work.
• Adaptability and agility in responding to changing business needs and priorities, remaining calm and positive under pressure in a fast paced and demanding environment.
• Proficient in Microsoft 365 (Teams, PowerPoint, Word, Excel, SharePoint) and other relevant software applications and systems.
